Train your field staff on the POM mobile app

An 8-minute video for your techs plus an office setup checklist, chapter notes and a one-page cheat sheet for the first week on the POM app.

Just signed up and need to get your techs on the POM mobile app? This is the training. Send your field staff the video below (about 8 minutes, nine short chapters) and have them follow along on their own phone. Underneath it, this guide tells you what to set up in the office first and walks through each chapter so you can answer questions and hand out a one-page cheat sheet.

Watch: Field staff training — from clock-in to the sent service report.

Before your techs watch: a 15-minute office checklist

The video tells techs "your office sets this," so it helps if these are done before the first shift on the app. Each one is in Settings on the web version of POM.

SettingWhat it decides for your techs
UsersEach tech needs their own login. Their phone's app version shows here later, so you can spot anyone on an old build.
Time Clock → Clocking policyWhether the day's schedule stays hidden until they clock in, and whether only the current job is visible (the next stop unlocks after they record a service). See Set up your clocking policy.
TemplatesThe service report they fill in: which pages and fields appear, which are required (red star), and whether pictures are required on a field or on the whole template.
Fields → Service statuses / Ticket statusesThe lists they pick from at the end of a report. POM ships with Complete, Follow Up with Customer and Need to Return; add your own and reorder them to match how you work.
Service Types (presets)Items that are pre-added to a job automatically, so techs only adjust quantities.
InventoryYour stocked items, with barcodes if you use them. Quick Add on a job shows your most-used items. See Use barcodes with your inventory.
TextingNotify (the "on my way" text) and texted service reports come from your company's texting number, so texting has to be turned on first. Email reports work without it.

Chapter by chapter

1. Clocking in

  • Open the app and land on Home. If you require it, the day's schedule stays hidden until the tech clocks in.
  • Tap Clock In, add an optional shift note, then tap Clock In again.
  • Home now shows the shift timer, Today's Progress and the first stop card with three buttons: Notify (texts the customer that the tech is on the way, from your company number, not their personal cell), Navigate and Start.
  • If you limit visible jobs, the next stop stays locked until a service is recorded for the current one.
  • Clock Out is at the top of Home while clocked in.

2. Arriving at a stop and job alerts

  • With Location tracking on, pulling up to a stop prompts the tech to start the job and stamps the appointment as arrived with the time, so the office can see who's on site.
  • It doesn't start the job for them — they still tap Start.
  • When the office assigns a job, the tech sees a banner in the app or a push notification if the app is closed. Under their account's Notifications they choose channels (In-app, Email, SMS, Push) and topics (Billing, Customers, Jobs & Dispatch, Mentions & Team, System), and can set quiet hours.

3. Running a job: the service report

  • Tap Start and the service report opens with the customer's address, pool volume and Recent Services at the top.
  • Report Template decides which fields appear. Techs can switch templates from the dropdown if you've built more than one.
  • A red star means required — the report won't submit until it's filled in.
  • On the readings page, type the test results or import them from a SpinTouch over Bluetooth. Each reading shows its ideal range, and the dosing section suggests how much of each chemical to add based on the readings and the pool volume. See Import SpinTouch readings.
  • Tap the camera icon on a field to take a photo or choose one from the library. Each photo can have a description and can be marked Private so only the office sees it. If you require pictures, the report won't submit without them.

4. Items used

This is what lets you invoice accurately, so don't let techs skip it.

  • Quick Add lists your most-used items — one tap adds one to the job.
  • For anything else, Add Item / Search and start typing, or tap the scan icon and point the camera at the product barcode.
  • Set the quantity with the + and − buttons.
  • Some jobs arrive with items already added by the office or a service-type preset. Techs should check them and adjust quantities to what they actually used.

5. Statuses and items for next time

  • Service Status is required at the end of the report: Complete, Follow Up with Customer, Need to Return, or your own.
  • Ticket Status tracks problems that need follow-up (waiting on parts, return scheduled). The office can see and work these.
  • Items for Next Time flags what the pool needs on the next visit (a filter, powder, acid). They show on the Home screen so whoever has the next visit brings the right things.

6. Saving, editing and sending the report

  • Before submitting, tick Email service report, text it, or both (texting needs to be on for your company).
  • Tap Submit. The service is saved and the next stop unlocks.
  • Forgot something? Open the same service, make the change and submit again — the app confirms it was updated.
  • The customer gets a clean report with readings, services performed, notes and photos.
  • In the office, the job turns green with a check mark on the schedule, the Services list shows status, whether it was emailed, and billing at a glance, and you can create an invoice straight from the service when you're ready.

7. Before the visit

  • Tap Details on any appointment for the map, notes for the customer, private notes from the office, and any items already added to the job.
  • Recent Services shows the pool's history, so the tech knows what was done last time.
  • From the menu, Route Prep lists what they'll need for the day's route, and Customers lets them look up any customer and their details.

8. Inventory on the app

  • Menu → Inventory to look up any item you stock: search by name or tap the scan icon and scan the barcode.
  • Every item added to a job shows up in the office's Items used, so you can track inventory and bill for it.

9. Troubleshooting and getting help

  • The sync bar at the bottom of the Appointments screen shows when data last updated and whether the phone is connected. If it says updates are pending, keep the app open so it can sync.
  • Menu → Sync Queue shows anything waiting to upload. Tap Sync Now, or Retry a single item. Don't remove items unless support asks.
  • Tap the tech's name at the top of the menu for their User Account: app version, Check for updates, Refresh cache, Location tracking and Notifications.
  • Location tracking needs to be on for arrival prompts to work, and the phone's settings need to allow Location, Camera and Notifications for the app.
  • You can see each tech's app version and location sharing on Settings → Users.
  • Support Center is at the bottom of the menu: 614-710-0074 ext 3. The menu also has a language toggle (English / Español).

Common questions

Do my techs need their own phones?

They need a phone with the POM app and their own login. The app runs on iPhone and Android.

What if a tech loses signal?

They can keep working. Anything they save waits in the Sync Queue and uploads when the phone reconnects. Tell them to keep the app open until the sync bar says it's up to date.

Can a tech fix a report after it's sent?

Yes. Open the service, change it and submit again. The office can also open the service in POM and send the updated report from there — see Viewing & sending a service report.

Where do I send questions the video didn't answer?

Have your techs write them down and bring them to you, or email help@poolofficemanager.com or call 614-710-0074.
