Export to QuickBooks with SaasAnt

Export completed visits from the Billing page and bring them into QuickBooks as invoices with SaasAnt.

If you invoice in QuickBooks but don't use POM's direct QuickBooks Online sync, the SaasAnt export is how you get a month of service visits into QuickBooks as invoices without retyping anything. You export a file from the Billing page, then SaasAnt reads that file into QuickBooks. Once it's set up, a month's billing takes a few minutes.

Before you start

  • You'll need a SaasAnt Transactions account connected to your QuickBooks company. SaasAnt is a separate, paid tool from saasant.com; POM only produces the file it reads.
  • The export works from the Billing page, so your visits need to be completed and showing there for the date range you want to bill.
  • Customer names in QuickBooks should match the names in POM. SaasAnt matches on the customer name, and can create missing customers for you if you turn that on.

Step 1: Export from the Billing page

  1. In POM, click Billing in the left-hand menu.
  2. Set the date range to the period you're billing (for example, the whole of last month). Leave Billing status on Not Billed so you only see visits that haven't been invoiced yet.
  3. Tick the customers you want to export, or Select all.
  4. Click Bulk actions (top left, it appears once something is selected) and choose Export for SAASANT.
  1. POM asks: "Would you like to update the billing status of the services to 'QBO' for this Export?"
    • Export and Update marks every exported visit as QBO, so it drops off your Not Billed list and you can't export it twice by accident. This is the one to use when you're really billing.
    • Export Only leaves the statuses alone. Use it for a test run, or if you want to check the file before you commit.
  1. POM switches to the Bulk Operations page and runs the export as a Service Export. For a normal month it finishes in a few seconds; the row shows how many visits succeeded, failed or were skipped.
  2. Click the download icon at the right of the row. The file is a CSV named like 2026-10-15_saasant_services_….csv.

What's in the file

One row per service visit. Visits for the same customer share an Invoice No, which is how SaasAnt knows to put them on one invoice with one line per visit.

Column groupWhat's in it
Invoice No, Customer, NameofCustomerThe invoice grouping and the customer as "Last, First" and "First Last".
Billing / Shipping address, Phone, Email, Email CCFrom the customer record. Used to create the customer in QuickBooks if they don't exist yet.
Line Item Service Date, Line Item, Line Item Description, Quantity, Rate, AmountOne line per visit: the visit date, the service type name, its description, and the price.
Line Item Taxable, Sales Tax CodeWhether the service is taxable and POM's tax code for it.
Billing Status, Private Notes, Customer Notes, Billing Method, BillFreq, AcctTypeReference columns. You don't need to map these in SaasAnt.

Step 2: Import into QuickBooks with SaasAnt

These steps follow SaasAnt's own guide for SaasAnt Transactions (Online). SaasAnt's screens change from time to time; if a label looks different, their support site has the current version.

  1. Sign in to SaasAnt Transactions (Online) with the QuickBooks company you're importing into.
  2. Click Bulk Upload in the left menu.
  3. Choose Invoice as the transaction type and select the CSV you downloaded from POM.
  4. Map the fields. SaasAnt matches columns to QuickBooks fields by name. Check at least these: Invoice No → Invoice Number, NameofCustomer → Customer, Line Item Service Date → Service Date (or Invoice Date), Line Item → Product/Service, Line Item Description → Description, Line Item Quantity, Line Item Rate, Line Item Amount, Line Item Taxable, Sales Tax Code. Save the mapping so you don't repeat this next month.
  5. Review the preview. Each customer should appear once, with one line per visit. Click any cell to correct it.
  6. Click Upload. Watch the progress bar, then open the Results page. Every row should show as created; failures tell you why (usually a customer or product name that doesn't exist in QuickBooks).
  7. Open QuickBooks and spot-check two or three invoices against the Billing page in POM.

If SaasAnt rejects rows

  1. Customer not found. The name in QuickBooks doesn't match NameofCustomer. Either rename the customer in one system, or turn on SaasAnt's option to create missing customers.
  2. Product/Service not found. The service type name in POM (for example "Cleaning - Weekly Package - Chlorine") isn't a product or service in QuickBooks. Create it in QuickBooks once, with the income account you want, and it will match from then on.
  3. Tax code not found. Map Sales Tax Code to the matching QuickBooks tax rate, or leave it unmapped and let QuickBooks apply its default.
  4. Dates look wrong. The file uses MM/DD/YY. Check the date format setting in SaasAnt if days and months are swapped.

I exported but the visits are still showing as Not Billed

You chose Export Only. That's fine for a test. To mark them now, go back to the Billing page, select the same customers and date range, and use Bulk actions → Mark as QBO. Next time, choose Export and Update.

Common questions

Where did my export go? I don't see a download.

The export doesn't download straight away. It runs on the Bulk Operations page (left menu, Bulk Ops), and the download icon is on the row. Every export you've ever run stays there, so you can re-download an old one.

Can I export the same month twice?

Yes. If you used Export and Update, switch the Billing status filter to QBO to find those visits again and re-export them. Just don't import the file into QuickBooks twice.

Should I use this or the direct QuickBooks Online sync?

If POM is connected to your QuickBooks Online company, use Create invoice on the Billing page and let POM sync directly; see Connect QuickBooks Online: Setup Guide. The SaasAnt export is for companies that keep QuickBooks separate, or whose QuickBooks edition the direct sync doesn't support.

Does the export include invoices I've already created in POM?

No. It exports service visits from the Billing page, not POM invoices. If you create invoices in POM and also import this file, you'll double-bill.
