Deactivated vs Active Users

Learn the difference between deactivated and active users in Pool Office Manager, when to use each status, and how it affects your billing.

What's the Difference?

 

Active Users

- Can log into POM

- Can be assigned jobs and routes

- Count toward your subscription user limit

- Appear in assignment dropdowns

 

Deactivated Users

- Cannot log into POM

- Cannot be assigned new jobs

- Do NOT count toward your billable user count

- Historical data is preserved

- Can be reactivated anytime

 

When to Deactivate a User

 

Deactivate users when:

- An employee leaves your company

- A seasonal worker is off for the season

- Someone is on extended leave

- You need to free up a user slot

 

How to Deactivate a User

 

1. Go to Settings in the left sidebar

2. Click Users

3. Find the user you want to deactivate

4. Click on their name to open their profile

5. Click Deactivate User or toggle their status to Inactive

6. Confirm the deactivation

 

How to Reactivate a User

 

1. Go to Settings then Users

2. Look for a filter or toggle to show inactive/deactivated users

3. Find the user you want to reactivate

4. Click on their name

5. Click Reactivate or toggle status back to Active

 

Important Notes

 

- Deactivating preserves all historical data (completed jobs, time entries, etc.)

- Deleting a user may remove their data - use deactivation instead

- Check your subscription plan for user limits before reactivating
