Starting and Completing Jobs

This guide walks through the complete workflow for starting, completing, and documenting service jobs in Pool Office Manager (POM).

 

The Service Workflow Overview

 

The typical service workflow follows this path: Appointment on schedule, Start Job, Complete Template Form, Submit Service Record, and optionally Create Invoice. Each step builds on the previous one to create a complete record of the work performed.

 

Starting a Job

 

From the Schedule or Appointments list, locate the appointment you want to start. Click on the appointment to open the sidebar panel. Click the Start job button to begin. This opens the service template associated with that appointment's service type.

 

Completing the Service Template

 

Service templates are multi-page forms designed to capture all relevant information about the job. The template used depends on the service type assigned to the appointment. Navigate through template pages using the arrows or page indicators.

 

Common template sections include technician assignment and start time, pool condition observations (surface, baskets, water level, water color), water chemistry readings (pH, chlorine, alkalinity, calcium, cyanuric acid, salt, phosphates, TDS, temperature), suggested chemical adjustments, inventory items used, customer and private notes, and service status with end time.

 

Fields marked as required must be completed before submission. Some templates require photos to be uploaded before the job can be submitted.

 

Recording Water Chemistry

 

Enter water chemistry readings in the designated fields. POM compares your readings against configured target values. The chemistry section helps track pool health over time and generates recommendations for chemical adjustments.

 

Default chemistry values can be configured in Settings under Chemistry. This ensures consistent baseline readings across all technicians.

 

Adding Inventory and Notes

 

Record any inventory items used during the service. Items are pulled from your configured inventory list with quantities and prices. Add Customer Notes for information visible to the customer on their service report. Use Private Notes for internal information only visible to your team.

 

Submitting the Service

 

Once all required fields are complete, click Submit to finalize the service record. The system creates a Service record that includes all captured data, timestamps, and any uploaded photos.

 

Viewing Completed Services

 

Access completed services from the Service module in the left sidebar. Each service record shows the full details of the completed work. Service records can be used to generate invoices and customer reports.

 

Creating an Invoice from a Service

 

After completing a service, you can create an invoice directly from the service record. Click Create Invoice on the service detail view. The invoice is pre-populated with service details, inventory used, and pricing based on your service type configuration.

 

Tips for Technicians

 

Complete all required fields before leaving the job site. Take photos when required by the template. Double-check chemistry readings for accuracy. Add private notes for any issues the office should know about. Submit jobs promptly to ensure accurate billing and reporting.
