Managing Multiple Bodies of Water

Pool Office Manager tracks each body of water separately, so a customer with a pool and a hot tub gets separate chemical readings, history, and equipment records for each, on the same service visit.

Adding a Second Body of Water

Bodies of water are managed from the customer's profile (Info tab), not from the profile edit form:

  1. Open the customer and scroll to the Bodies of Water section. Every customer starts with a Primary Pool.
  2. Click + Add.
  3. In the Add Body of Water form, enter:
    • Name (e.g. "Hot Tub", "Spa", "Lap Pool")
    • Type: Pool, Hot Tub, Spa, or Other
    • Volume (gallons): enter this if you want chemical dosing calculated for this body (see below)
    • Optional: Dimensions, Water Notes (cover instructions, chemical preferences), and Equipment (Pump, Filter, Heater, Cleaner, Sanitizer, Winter Cover)
  4. Click Create.

Each body appears as its own tab in the Bodies of Water section. Select one and use Edit or Delete to manage it, and + Add for as many additional bodies as the property has.

How It Works on the Service Report

When a technician starts an appointment for that customer, the service report gets a separate readings step for each body of water. In the step bar at the bottom, the extra body appears as its own numbered stop, labeled B2 (and B3, B4... for additional bodies).

  • Step 3 holds the primary pool's chemical readings (pH, Free Chlorine, Alkalinity, Calcium, Cyanuric Acid, and so on), each showing the previous reading and date.
  • Step 4 is the dosing calculator: current vs. after-adjustment Saturation Index (LSI), plus per-chemical cards with the reading, target, and dose adjusters.
  • The B2 step is the second body's own page, titled with its name and type (e.g. "Hot Tub (Hot Tub)"). It has its own Water Level, Water Condition, Water Color, and the full set of chemical readings, entered exactly like the primary pool's.

Readings save to the correct body, so each one builds its own chemistry history over time.

Why Volume Matters

The dosing calculator shows "No Volume" on its chemical cards until the body of water has a volume in gallons. Enter the volume on each body (Bodies of Water > select the body > Edit) and POM can calculate actual dose amounts instead of just showing targets.

Customers with Multiple Properties or Locations

Multiple bodies of water at one address are handled above. If a customer has two or more service addresses (a home and a rental, several commercial locations), create a separate customer entry per service address and add an identifier to the name, for example "Smith - Main St" and "Smith - Beach House". This keeps each property's schedule, service history, chemistry, and billing clean, and each entry can still use the same billing email.
