Inventory Management and Barcode Tracking

Pool Office Manager (POM) offers a comprehensive inventory management system that helps you track chemicals, equipment, and supplies across your business. This guide covers everything from initial setup to advanced barcode scanning features.

 

 

Getting Started with Inventory Tracking

 

To begin tracking inventory in POM, navigate to Inventory in the left menu. This opens your main inventory dashboard where you can view all items, their quantities, and manage locations.

 

Creating Inventory Items

 

Click the Actions button and select Create inventory item. For each item, you can specify:

 

• Name - The item name (required)

• Billing name - Name shown on customer invoices

• Description - Item details

• Customer price - What you charge customers

• Company cost - Your cost for the item

• Re-Order level - Minimum quantity before reordering

• Part number, SKU, BIN - Identification codes

• Barcode - Scan or enter the product barcode

• Category - Organize items by type

 

Setting Up Locations

 

POM allows you to track inventory across multiple locations such as warehouses, trucks, and supplier locations. Go to Actions > Manage inventory locations to add new locations (warehouses, vehicles), set a default storage location, enable or disable Global QTY calculation per location, and mark locations as active or inactive.

 

Creating Categories

 

Organize your inventory with categories. Go to Actions > Manage inventory categories to create categories like Chemicals, Equipment, Parts, etc. Assign categories when creating or editing items.

 

Adjusting Quantities

 

There are two ways to adjust inventory quantities:

 

Transfer Adjustment: Edit an item and click the Transfer adjustment tab. Select a source location, destination, and quantity to move items between locations or reconcile counts.

 

Transfer Button: Use the main Transfer button on the inventory page for bulk transfers between locations.

 

Using Barcode Scanning

 

POM supports barcode scanning for fast inventory management:

 

• Adding barcodes to items: When creating or editing an item, enter or scan the product's existing barcode into the Barcode field

• Barcode scanners: Connect a USB barcode gun or use the POM mobile app's built-in camera scanner

• Quick add: Scan a barcode to instantly find and add items during service visits

 

Viewing Inventory Reports

 

The inventory page provides several views:

 

• Inventory - Active items and quantities

• Usage - Track what's been used

• Customer List - Items by customer

• Inactive List - Discontinued items

 

Filter by Category or Location using the dropdown filters, and export data via Actions > Export inventory.
