Get a daily report from your POM data with Claude
Create a read-only API key, connect Claude, and get a one-page report of yesterday in your inbox every morning. Then ask your POM data anything.
Pool Office Manager has an API — a door that lets other tools read your data. Connect Claude to it once, and you can have a one-page report of yesterday waiting in your inbox every morning, and ask questions about your business in plain English whenever you like. Setup takes about ten minutes. Claude only reads your data; with the key set up as shown here, it can't change anything in POM.
Watch: connect POM to Claude and get a daily report, start to finish (3 minutes).
Before you start
- You need to be an administrator on your POM account to create an API key.
- You need Claude Desktop with Cowork, which is where scheduled tasks and folders live. Claude is a separate subscription from Anthropic; the POM API itself is included in your plan.
- Pick a folder on your computer for this (the video calls it POM Reports). Your key and your reports will live there.
Step 1: Create a read-only API key in POM
- In POM, go to Settings → API Keys and click Create API Key.
- Give it a name you'll recognise later, such as Claude daily report. Set an expiration date if you like — you can always make a new key.
- On the Permissions tab, tick only the View boxes: Appointments, Services, Customers, Inventory, Invoices, Reports and alerts, Timeclock. Leave every Edit and Delete box empty. View-only means Claude can read your data but never change it.
- Click Create. POM shows the key exactly once. Copy it now.
Step 2: Put the key in a file, not in a chat
- Create a plain text file called pom-key.txt in your POM Reports folder and paste the key into it.
- In Claude Desktop, open Cowork and connect the POM Reports folder.
Claude reads the key from the file when it needs it, so the key never has to be pasted into a conversation.
Step 3: Let Claude run code and reach the API
- In Claude, open Settings → Capabilities.
- Turn on Code execution and file creation (so Claude can pull and crunch your data and save a PDF).
- Turn on Allow network egress (so Claude can reach
api.poolservicemanager.com).
On a Claude Team or Enterprise plan, an owner sets this in Organization settings → Capabilities. Ask them to allow api.poolservicemanager.com.
Step 4: Check the connection
Start a new task in the POM Reports folder and paste this:
Read the Pool Office Manager API docs at docs.poolservicemanager.com. My API key is in pom-key.txt in this folder. Don't show the key in the chat. Check that it works and tell me which company it's connected to.
Claude reads the docs, runs a test call, and replies with your company name and what the key can see. If it says it can't connect, check Step 3 and that the key was pasted completely.
Step 5: Describe the report you want
Say it in your own words. The one in the video:
Build me a one-page daily report for yesterday:
• visits completed by each tech, and any stops that were skipped
• completed visits that haven't been invoiced yet
• pools with chlorine under 1 ppm or pH over 7.8
• service reports that weren't emailed to the customer
• hours on the clock by tech
Save it in this folder as a PDF.
Claude pulls yesterday's appointments, services, invoices and time clock entries, and saves the PDF in your folder. Open it. If a number looks off, say so — Claude fixes the report and remembers the format.
Step 6: Schedule it
- In Cowork, click Scheduled → New task.
- Name it POM daily report.
- Prompt: Using the key in pom-key.txt, build yesterday's POM daily report the same way as before, save the PDF in POM Reports, and email it to [your address] with Gmail. Put the three biggest issues in the email body.
- Frequency: Weekdays, 6:45 AM (or whatever suits). Working folder: POM Reports. Click Save.
Next morning the email arrives with the PDF attached and the three things to look at first in the body.
Now ask it anything
Once the connection works, the daily report is just the start. Each of these is one sentence to Claude, answered from your real data:
| Ask | What you get |
|---|---|
| Which customers haven't had a service in the last 14 days? | A list with each one's last visit date. |
| Which pools came in with high pH three visits in a row? | Chemistry trends by customer, from your service reports. |
| Which invoices are more than 30 days past due, and who owes the most? | A ranked list with totals. |
| Who's my fastest tech per stop, and who's over on drive time? | Services and time clock, side by side. |
| What's below its reorder level, and what did we use most last month? | Inventory levels and usage. |
| Compare this month's completed visits and revenue to last month. | A chart, if you ask for one. |
If it isn't working
- Claude says it can't reach the API. Check Settings → Capabilities: both toggles on. On Team or Enterprise, the domain has to be allowed by an owner.
- "401" or "unauthorized". The key is wrong, expired or revoked. Open pom-key.txt and check it starts with
pom_live_and has no extra spaces. If it's expired, create a new key in POM and replace the file. - A number in the report is wrong. Tell Claude what you expected; it re-checks the query. The usual cause is a date range (yesterday vs. today) or a status filter.
- The scheduled email didn't arrive. Open Scheduled in Cowork and look at the task's last run. Make sure Gmail is connected to Claude and your computer was on at the scheduled time.
Common questions
Is my data safe?
The key you made can only view data — Claude can't create, edit or delete anything in POM. The key lives in a file on your computer, not in a chat. If you ever lose it or want to stop, go to Settings → API Keys and Revoke it; it stops working immediately.
What does this cost?
The POM API is included with your subscription. Claude is your own subscription with Anthropic.
Can Claude change things in POM, like creating customers?
Only if you give it a key with Edit permissions. For reports and questions, keep the key View-only.
Can I use ChatGPT or another tool instead?
The API works with any tool that can read the docs and make web requests. This article shows Claude because it can run code, save files and schedule tasks on its own.
Developers: the full API reference is at docs.poolservicemanager.com.
