Activity Dashboard & GPS Tracking Guide

Overview

 

The Activity Dashboard in Pool Office Manager provides real-time visibility into your team's activities, including GPS tracking to monitor technician locations throughout the day. This feature helps dispatchers optimize routes, provide accurate ETAs to customers, and verify service completion.

 

Accessing the Activity Dashboard

 

1. Log in to Pool Office Manager

2. Click Activity in the left sidebar

3. The Activity Dashboard opens with three tabs:

   - All Activities - Combined view of all team activity

   - Appointments - Appointment-specific activity

   - GPS - Real-time map showing technician locations

 

GPS Tracking Features

 

Viewing Technician Locations

 

The GPS tab displays a Google Maps view with:

- Colored pins showing each technician's current location

- Technician initials on each pin for easy identification

- Map/Satellite toggle to switch between views

- Zoom controls to focus on specific areas

 

Understanding the Map

 

Pin Colors:

- Green: Technician actively working

- Blue: Technician in transit

- Gray: Technician inactive/offline

 

Date Selection

 

Use the date picker at the top of the page to view historical location data for any previous date. This is useful for:

- Verifying when a technician arrived at a job

- Reviewing routes taken

- Addressing customer inquiries about service times

 

Technician List

 

The left panel shows all technicians with:

- Profile initials (colored circle)

- Full name

- Current activity status

 

Click on any technician to center the map on their location.

 

Requirements for GPS Tracking

 

For GPS tracking to work, technicians must:

 

1. Use the POM mobile app - GPS only works through the mobile application

2. Enable location services - Location permissions must be granted to the POM app

3. Have an active internet connection - Data or WiFi required for location updates

 

Enabling GPS on Mobile Devices

 

For iOS:

1. Go to Settings → Privacy → Location Services

2. Find Pool Office Manager

3. Select "While Using the App" or "Always"

 

For Android:

1. Go to Settings → Apps → Pool Office Manager

2. Tap Permissions → Location

3. Select "Allow only while using the app" or "Allow all the time"

 

Use Cases

 

For Dispatchers:

- See which technician is closest to an emergency call

- Provide customers with accurate arrival estimates

- Monitor team productivity throughout the day

 

For Managers:

- Verify service completion times

- Review route efficiency

- Address customer complaints with location data

 

For Customer Service:

- Answer "Where is my technician?" inquiries

- Provide real-time ETAs

- Confirm service was performed at the correct location

 

Privacy Considerations

 

- GPS tracking only occurs during work hours when the app is active

- Technicians can see their own location data

- Location history is retained according to your company's data retention policy

 

Troubleshooting

 

Technician not showing on map:

- Verify they have the mobile app installed

- Check that location services are enabled

- Ensure they have an internet connection

- Confirm they are logged into the app

 

Location seems inaccurate:

- GPS accuracy depends on device and signal strength

- Indoor locations may be less accurate

- Ask technician to step outside briefly to refresh location
